Job Title: C-Suite Executive Admin

Reports to: CEO, COO & CFO
This Executive Admin will support the CEO, COO & CFO with their daily scheduling needs as well as perform ad-hoc duties both ongoing and as needed. This is a heavy scheduling position. This individual will be the US point person for scheduling for the CEO when she is in the UK and fulltime for the COO who resides in the UK, as well as for the CFO who resides in Los Angeles.
This position is fulltime and onsite at our West Hollywood campus.

Core Responsibilities:
- Manage the executives’ calendars, schedule appointments, and coordinate meetings and travel.
- Assist in organizing and scheduling meetings, reviews, screenings, etc.
- Handle highly confidential information, dispersing data and material with appropriate parties thoughtfully.
- Provide administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the executives’ behalf, as needed.
- Prepare agendas, presentations, and materials for meetings, as needed. Document meeting minutes, action items, and status updates.
- Answer incoming phone calls in a polite and professional manner and accurately take messages.
- Handle printing, scanning, mailing/overnighting packages, copying, filing, and emailing messages.
- Prepare, reconcile, and submit expense reports for executives.
- Create and maintain pertinent tracking materials so applicable parties are kept abreast of milestones and status updates.
- Assess needs of executives and departments proactively, attending to potential issues before they arise.
- Research and stay attune of important news, projects and people in the entertainment community.
- Be agile with the ability to switch gears, discern and manage tasks based on urgency and importance.
- Have a passion for the creation and consumption of Games, Film, TV, Theatre & beyond!
Required Skills/Qualities:
- Proven multi-year experience as an Executive Assistant or Admin to a C-suite exec or head of a busy department.
- Proficiency in a variety of technical tools including Microsoft Office, Slack, etc.
- Experience in scheduling in various time zones is a huge plus as two of the three executives could be in the UK at any time.
- Highly organized and savvy with organizational software and tools, always staying on trend with the latest and greatest to promote departmental efficacy.
- Personable with an ease when talking with executives and/or high-profile individuals.
- An ability to embrace change and thrive in an ever-evolving environment.
- Humility with tasks, taking the no task is too small approach to best support the executives’ and departmental goals.
- Ability to work well in higher pressure and/or higher volume working environments with patience and perspective.
- Willingness to find flexibility within a working schedule; able to attend to the CEO and COO’s needs when in different time zones.
- A kind and considerate person who brings an energy of fun, curiosity and spark to their environment.
Salary range and benefits information:
$26 -28/hour based on breadth of experience. Overtime eligible. This position is accented with a host of benefits including company paid base healthcare premiums for individual and dependents, a 401(k) program, a generous holiday schedule and an unlimited vacation policy.
